AI Event Planning in the UK: A 2026 Operations Guide
AI can reconcile a supplier schedule, draft answers from an approved guest pack and estimate demand from past events. It cannot certify a venue’s safe capacity, know whether a substituted dish is safe for a guest with an allergy or make a civil ceremony legally valid.
The right role is an operations assistant with bounded permissions, named human owners and a tested manual fallback. “Perfect weddings on autopilot” is not a service promise; it is an avoidable source of safety, privacy and contractual risk.
This guide is current to 31 July 2026. Event licensing, marriage law, food regulation, fire safety and equality duties vary by activity and UK nation. Local authorities and venues may impose additional conditions. Confirm the rules and responsible authority for the exact event; this is not legal advice.
Begin with the event’s source of truth
Create one controlled event record before adding AI. It should contain:
- the signed client brief and change-control owner;
- venue plan, verified capacity, access routes and prohibited areas;
- supplier contracts, contacts, arrival windows and dependencies;
- guest count by confirmed, provisional, declined and staff status;
- accessibility and dietary requirements with restricted access;
- ceremony, licensing, insurance and local-authority evidence;
- production schedule, weather thresholds and contingency decisions;
- emergency plan, escalation tree and radio or telephone channels; and
- the current version, approver and time of every material change.
The model may retrieve from that record; it must not silently overwrite it. Preserve a change log and require approval for changes affecting safety, price, guest commitments, food, transport or the legal ceremony.
A useful problem statement is measurable:
“Use AI to orchestrate everything” cannot be tested or safely assigned.

Keep emergency decisions, crowd capacity, fire controls, allergen clearance, guest removal, contract acceptance and legal ceremony compliance outside autonomous execution.

Safety plans are not optimisation outputs
The Health and Safety Executive’s event-safety guidance says planning should be proportionate to the event’s scale and risk, with clear safety responsibility, risk assessment, a safety plan, competent contractors and emergency arrangements. HSE’s venue and site-design guidance adds that organisers must, so far as reasonably practicable, ensure crowd safety and clearly allocate responsibilities where control is shared with venue management.
AI may help compare the verified plan with the running order. It must not infer capacity from floor area, count an inaccessible exit as usable or declare a plan “HSE approved”. Local Safety Advisory Groups are advisory and non-statutory; HSE states they do not approve an event and organisers retain their legal duties.
Use a competent person to verify:
- safe capacity for each configuration, not only the venue’s headline number;
- arrival, circulation, queue, egress and emergency access;
- temporary structures, power, rigging, barriers and vehicle movements;
- first aid, welfare, security and safeguarding arrangements;
- severe-weather thresholds and decision authority; and
- evacuation communications, including disabled guests and workers.
Run a tabletop exercise in which the planning platform and mobile network are unavailable. Staff should still know who is in charge, where the latest offline plan is and how to account for critical suppliers and zones.
Do not infer private relationships for a “perfect” seating plan
A seating tool needs explicit constraints such as table capacity, wheelchair space, interpreters, children’s seating, household requests and hosts’ stated separation requests. It does not need to scrape social media, score relationships or infer religion, health, sexual orientation, family conflict or financial status.
The ICO’s data-minimisation guidance requires personal data to be adequate, relevant and limited to what is necessary. Its AI fairness material is being reviewed following the Data (Use and Access) Act changes, so check the current page at deployment; the underlying duties of lawful, fair and transparent processing still matter.
Give guests a clear privacy notice and a simple way to correct details or request human help. Restrict health, disability and dietary data to staff who need it, set deletion dates and prevent suppliers from repurposing it. Avoid uploading the full guest list into a consumer AI account.
If photographs, face matching or automated check-in are proposed, assess them separately. A QR code and trained front-of-house team will often meet the need with less personal data and fewer exclusion risks.
Accessibility must shape the venue and schedule
The Equality and Human Rights Commission’s services Code of Practice, updated in May 2026, covers services in England, Scotland and Wales and explains that providers may need to provide services differently so disabled people can receive an equivalent standard. Northern Ireland has separate anti-discrimination law and regulator guidance.
Ask guests what adjustment they require; do not ask a model to infer disability from a message or mobility pattern. Confirm step-free routes, accessible toilets, seating, hearing support, quiet space, assistance-dog arrangements, parking or drop-off, dietary communication and accessible digital information. Map the whole journey from invitation to departure.
Test:
- the RSVP form with keyboard and screen reader;
- colour contrast, text size and plain-language instructions;
- arrival after dark and during rain;
- whether a wheelchair place remains part of the social group rather than isolated;
- sight lines for interpreters and captions; and
- emergency instructions in the formats guests and staff can use.
An attractive floor-plan rendering is not evidence that those routes work.
Forecast catering, but let caterers control food safety
Forecast confirmed guests, probable attendance, staff meals, service style, time of day and historical consumption as ranges. Keep assumptions visible. A wedding with 120 guests is not interchangeable with a standing reception of 120, and a model trained on large corporate events may not transfer to a community celebration.
The Food Standards Agency’s allergen guidance for food businesses applies in England, Wales and Northern Ireland. It says food businesses must provide allergen information for prepacked and non-prepacked food and manage allergens effectively. Its 2025 best practice recommends written information for non-prepacked food supported by a conversation. Scotland is covered by Food Standards Scotland guidance.
Treat a dietary label such as “dairy-free” or “nut-free” as a request requiring caterer confirmation, not a model classification. The caterer must control recipes, ingredients, substitutions, cross-contact, labelling, service and staff training. If an ingredient changes on the day, update the source record and re-confirm the affected meals; never let AI extrapolate from the old recipe.
Useful measures are forecast error by event type, uneaten portions, emergency replenishment, staff meals missed and confirmed allergen handoffs. “Food waste reduced” is incomplete if shortages or unsafe substitutions increased.
Keep legal ceremonies and contracts outside the chatbot
For England and Wales, GOV.UK’s approved-premises guidance describes venue approval, identified ceremony areas, registrar approval and local fire and safety conditions. Scotland and Northern Ireland have different marriage and civil-partnership systems. A venue, registrar or celebrant’s role must be confirmed for the territory and ceremony type.
The planning assistant may remind the coordinator that a document is due. It must not tell a couple that a ceremony will be legally valid, interpret immigration or notice requirements, alter vows or move proceedings to an unapproved place without confirmation from the registration authority.
Apply the same discipline to suppliers. Extract dates, deliverables, cancellation terms and insurance evidence, but have a responsible person verify the signed contract. Record who bears a contingency cost. A model-generated email should not create a new commitment or waive a right.
Build a live operating system with a manual fallback
Issue role-specific views rather than one giant chat:
- command view: decisions, incidents, weather and status;
- production view: running order, dependencies and change log;
- supplier view: only its access, delivery, power and contact details;
- guest view: approved public information and help route; and
- safety view: controlled plans, checklists and accountable owners.
Freeze safety-critical data at an agreed point and use a formal change process thereafter. Print or export an offline pack before load-in. On the day, show the time and version on every schedule. An AI assistant should say “I do not have a current approved answer” rather than improvise.
Protect accounts with multifactor authentication, least privilege and rapid removal of temporary supplier access. The NCSC small-organisations guidance provides current controls for email, accounts, devices, backups and incident readiness.
A staged pilot and measurable release gates
Pilot on one repeatable event type before a one-off high-stakes wedding or large public event.
Before the pilot: baseline coordination time, schedule conflicts, guest enquiries, forecast error, waste, accessibility issues and supplier changes. Complete the risk, privacy, security and equality assessments.
Offline test: use a past event with known outcomes. Inject a supplier delay, guest-count change, ingredient substitution, inaccessible route and network outage. Measure whether the system escalates instead of inventing.
Limited live use: permit schedule suggestions and approved-information retrieval only. Review every output affecting a guest or supplier and hold a daily issue review.
Release gates:
- 100% of safety-critical fields trace to a named venue, contractor or authority source;
- zero AI changes to capacity, emergency controls, allergens, contracts or ceremony status;
- 100% of dietary and accessibility requirements acknowledged by the responsible human owner;
- no table-capacity, step-free-route or explicit separation constraint breaches;
- every material schedule change has approver, timestamp and notified recipients;
- guest-answer factual accuracy meets the agreed target, with 100% accuracy for times, addresses and emergency information;
- the full manual fallback is completed within the rehearsal target;
- no unresolved high-severity privacy, security, accessibility or safety issue; and
- time saved remains positive after review and correction effort is included.
Stop on a serious incident, stale source, uncontained data disclosure, unsafe recommendation, repeated group-specific failure or staff inability to challenge the tool. Re-test after a venue layout, model, supplier, purpose or law changes.
The practical verdict
AI can make a coordinator faster at comparison, retrieval and revision. It should not make the event less human or the chain of responsibility harder to see.
Use it to find conflicts and prepare options. Let competent organisers, venues, caterers, authorities and the people hosting the event decide what is safe, lawful and right for their guests. The best event technology is quiet backstage—and fully accountable when the plan changes.
